DCS Combat Academy (“DCA,” “we,” “us,” or “our”) provides simulation coaching services and related content. This Privacy Policy explains what we collect, how we use it, who we share it with, and the choices you have.

Using our website, booking a session, joining our waitlist, or sending us files means you agree to this Policy.


1) Information We Collect

a) You provide directly

  • Account & contact info: name, email, username/handle, time zone.

  • Booking details: preferred dates/times, goals, survey answers.

  • Payment details: processed by our payment partners (we do not store full card/billing data).

  • Coaching materials: Tacview .acmi, track files, mission files, screenshots, short videos, notes you submit.

  • Communications: emails, chat messages, and form submissions.

  • Recordings (optional): session audio/video if you request recording.

b) Collected automatically

  • Usage data: pages viewed, clicks, referring/exit pages, approximate location (city/country), device/browser info, session duration.

  • Cookies & similar tech: needed for site functionality, analytics, and remembering preferences.

c) From third parties

  • Payment processors share payment confirmations/receipts.

  • Scheduling/meeting tools  provide meeting metadata.

  • Email/CRM platforms (Kajabi) help manage subscriptions and deliver content.


2) How We Use Your Information

  • To provide services: schedule sessions, run live debriefs, review your uploads, deliver notes and plans.

  • To operate the site: troubleshooting, security, fraud prevention, analytics, and improvement.

  • To communicate: transactional emails (confirmations, reminders, changes), service updates, Academy news (if subscribed).

  • To comply with law: tax, accounting, and legal requests or claims.

Legal bases (EEA/UK where applicable): contract performance, legitimate interests (service quality, security, analytics), consent (newsletters/recordings/certain cookies), and legal obligations.


3) How We Share Information

We share only as needed to provide and secure the service:

  • Service providers / processors: hosting, CRM/email, analytics, scheduling/meeting, payments, helpdesk.

  • Legal & safety: to comply with law or protect rights, safety, or property.

  • Business transfers: if we undergo a merger, acquisition, or asset sale.

We do not sell or share your personal information. 


4) Tacview & Track Uploads (Important)

  • Purpose: We use your uploaded files solely to deliver coaching (analysis, timestamps, drills).

  • Content sensitivity: Tacview/track files may include metadata (locations, aircraft parameters, time stamps). Do not upload sensitive or unrelated personal data.

  • Retention: We typically retain coaching files and related notes for up to 90 days to support follow-ups, unless you request earlier deletion. (Backups may persist briefly.)

  • Confidentiality: We don’t publish or share your files without your consent. If we later request to anonymize a case study, we’ll ask first.


5) Session Recordings & Notes

  • Recordings are on by default and disabled only if you request.

  • If recorded, you consent to our processing for coaching and personal review.

  • You may request deletion; we’ll delete our copy unless required by law to retain.


6) Children’s Privacy

Our services are for adults. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA/UK). If you believe a child provided data, contact us at [email protected].


7) Cookies & Analytics

  • Strictly necessary cookies: site operation, security, scheduling, checkout.

  • Functional/Preference cookies: remember settings (e.g., time zone).

  • Analytics cookies: understand performance and improve the service.

  • Marketing/measurement (limited): only if/when used and where permitted.

You can block cookies in your browser; some features may not work. Where required, we’ll display a consent banner.


8) Your Choices & Rights

Email preferences: unsubscribe links appear in all non-transactional emails.
Delete or access your data: email [email protected] to request access, correction, deletion, or a copy of your data.

EEA/UK: you may have rights to access, rectify, delete, restrict, port data, and object to certain processing. You can also lodge a complaint with your local authority.

California (CCPA/CPRA): residents may request access, correction, deletion, and details on sharing. We do not sell personal information for money. To opt out of any sharing for cross-context behavioral advertising (if used), email [email protected] with “CCPA Opt-Out” in the subject.

We won’t discriminate against you for exercising your rights.


9) Data Security

We use reasonable administrative, technical, and physical safeguards. No method is 100% secure. Please use strong, unique passwords and share files over secure connections.


10) Data Retention

We keep personal information only as long as needed for the purposes described above (service delivery, legitimate interests, legal obligations) and then delete or anonymize it. Typical coaching artifacts (uploads, notes) are retained up to 90 days, unless you ask us to remove them earlier.


11) International Transfers

We may process data in countries other than yours. Where required, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) for transfers. By using our services, you understand your data may be processed outside your country.


12) Third-Party Links

Our site may link to third-party sites, tools, or stores. Their privacy practices are their own; review their policies before providing information.


13) Changes to This Policy

If we make material changes, we’ll update the “Last Updated” date and, where appropriate, notify you (e.g., by email or on-site notice). Continued use after changes means you accept the revised Policy.
